A report is an A4 document with readings and alerts over a period. The portal calculates it only when someone opens it, with the readings up to that moment. To follow values live, create a dashboard as described in Create a dashboard.
What you need
- The role Owner, Admin or Technician in your organisation. With Read only you can open reports, but not create or change them.
- A screen or window at least 1024 pixels wide. On a narrower screen the portal does not show the report editor.
Design a report
Loading the walkthrough.
After these steps the report appears in the list under Reports.
Open Reports
Open Reports in the menu.
Start a report
Click New report at the top right. The editor opens with an A4 page that already contains a Header.
Enter the name
At the top left, in Report name..., enter the name, for example Monthly cold room report. This name appears in the list and in the email.
Choose the period
Choose the period next to the name. The default is Last month.
Open the header
Click the Header in the report. Widget configuration opens on the right.
Enter the title
In Report title, enter the title that appears at the top of the report. Without a title, the word Header appears there.
Add a widget
Drag a widget from the list on the left into the report. The widget lands at the bottom and Widget configuration opens on the right.
Set up the widget
In Widget configuration, choose what the widget shows, such as the registers. The report immediately shows the values over the chosen period.
Save the report
Click Save at the top right. The portal shows Report saved.
Add more widgets in the same way. Click a widget in the report to set it up again. With Preview you see the saved report in a new tab, without a print dialog. Save a new report first for this.
Point at a widget with the mouse. These buttons appear at the top right of the widget:
- The handle with six dots. Drag the widget to another place.
- The square (Volledige breedte), two columns (Halve breedte) and three columns (Derde breedte). The portal shows these tooltips in Dutch, meaning full, half and third width. Not every widget can be narrower.
- The red cross (Verwijderen, meaning delete). The widget disappears from the report immediately.
Widgets
The table shows what each widget puts in the report. The first four are in the list on the left under Data, the others under Layout.
| Widget | What it puts in the report |
|---|---|
| Line chart | The trend of up to 5 registers over the period |
| Statistics table | The minimum, maximum, average and last value per register. Every column can be switched off |
| KPI card | One value from one register, green, orange below Low threshold or red above High threshold |
| Alarm table | At most 200 alerts from the period, newest first. All alerts or those of chosen alert rules, filtered by severity |
| Header | Logo, title, period and the moment the report was made |
| Text field | Your own text in the style Normal, Heading or Small |
| Separator | A horizontal line |
| Page break | The start of a new page in the PDF |
Choose a register in Widget configuration with Select register.... You choose the gateway first, then the Modbus device and then the register. For a Line chart and a Statistics table, first click Add register for each register.
Over a period of more than 3 days, the Line chart shows the average per hour, and over more than 40 days the average per day. The minimum and maximum in the Statistics table do apply to all stored readings of the period.
The Statistics table and the KPI card show numbers with one decimal place. For the KPI card, choose under Aggregation which value it shows. Total adds up all stored readings of the period. For the consumption of a kWh meter, use the Statistics table and subtract Min from Max.
For a new report, the Header takes over the logo of your organisation, if there is one. Choose another logo in Widget configuration with Upload logo or Upload different logo.
Report period
The table shows which days each period covers, counted from the day on which someone opens the report.
| Period | What the report shows |
|---|---|
| Last week | From 7 days ago up to and including today |
| Last month | From 30 days ago up to and including today |
| Last quarter | From 90 days ago up to and including today |
| This month | From the first day of this month up to and including today |
| Previous month | The whole previous calendar month |
For a monthly report, choose Previous month and send on day 1.
Schedule the delivery
A scheduled report goes to the recipients as an email with a link. A new report is set to Monthly, on day 1 at 06:00. An email only goes out when Active is on and there is at least one recipient.
Open the schedule
Click Schedule at the top right of the editor. Schedule & Delivery opens on the right.
Turn on delivery
Turn on Active at the top of the panel.
Choose the frequency
In Frequency, choose Daily, Weekly or Monthly.
Choose the day
If you chose Weekly, choose the day in Day of the week. For Monthly, choose a day from 1 to 28 in Day of the month.
Enter the time
Enter the time next to Frequency. The portal only looks at the hour, so with 06:30 the email goes out shortly after 06:00.
Choose the language
In Language, choose the language of the report.
Enter an address
Under Recipients, enter an email address.
Add the recipient
Click Add. The address now appears below the field. Repeat this for each recipient.
Save the schedule
Click Save at the top right. The portal shows Report saved.
Language sets the dates, the footer and the buttons above the report. Column headings and other fixed texts follow the language in which the reader uses the portal. Remove a recipient with the cross after the address.
What the recipient receives
The recipient gets an email in Dutch with the name of the report, the period and the Rapport bekijken (view report) button. No PDF is attached.
The button opens the report in the portal. Anyone who is not signed in signs in first. The browser then opens its print dialog, where the recipient saves the report as a PDF.
Only someone with an account in your organisation can open the report. For someone without an account, save the report as a PDF yourself and send the file.
Below the list of reports, open the block with the latest deliveries. There you see per delivery which addresses the email went to. If an email does not arrive, see Alert email or report does not arrive.
Turn on the report email for team members
The address of a team member only receives the report email once that team member has saved Report ready one time. The switch is already on in the screen, but the portal only stores a choice once you change it. An address that does not belong to a team member receives the email without this step.
Each team member on the list does this themselves, with their own account.
Open notifications
Go to Settings > Notifications.
Turn the switch off
Under My notification preferences, in the Report ready row, turn off the switch under E-mail. The portal shows Saved.
Turn the switch on
Turn the same switch on again. From now on this team member receives the report email.
Save a report as a PDF straight away
You can also save a report as a PDF without the schedule. Every role can do this, including Read only.
Open Reports
Open Reports in the menu.
Open the menu
Open the menu with the three dots in the row of the report.
Generate the report
Choose Generate now. The report opens in a new tab and the browser shows its print dialog.
Save the PDF
In the print dialog, choose the option to save as a PDF.
If you closed the print dialog, click PDF downloaden (download PDF) at the top right of the tab. If Language is set to English or Deutsch, the button is called Download PDF or PDF herunterladen.
Change or stop a report
Click the name of a report in the list under Reports to open it in the editor. A change only applies after Save.
To stop the delivery without discarding the report, turn off the switch in the Active column in the list. This applies immediately, without Save.
Delete a report with Delete in the menu with the three dots. The portal asks for confirmation first.
